Watoto Child Care Ministries is a ministry of Watoto Church that rescues vulnerable children and restores dignity to them by providing holistically for their physical, spiritual and emotional needs. Watoto has operations in Kampala, Wakiso, Mpigi and Gulu.

Job Summary:  The Stores Assistant will ensure proper accountability of inventory and deliver exceptional service by providing safe receipt, storage, and timely dispatch of stock in support of Watoto Schools.

Key Duties and Responsibilities: 

Inventory Management

  • Monitor the stock levels and liaise with Administrators and Procurement buyers, coordinate & guide replenishment
  • Quality checks & verifications on received items before adding to store
  • Receive, count, record/input and store all Education supplies, inventory & assets
  • Maintain an accurate record of all Education inventory received in and taken from the store
  • Conduct periodical (Weekly, monthly & termly) stock takes & share update reports with line managers.
  • Maintain a functional stores inventory and ensure proper maintenance of stock and supplies

Keep the Stores clean & organized

  • Ensure that the store is clean, kept free of clutter and organized.

User, Supplier & Procurement liaison

  • Supplier follow up in liaison with the procurement officer in regard to deliveries, invoices, LPOs and replenishments
  • Liaison point between service providers and the users. Receive feedback from the end users and disseminate to supplier, procurement officer and all other stake holders
  • Work with procurement officer to ensure standardised transportation plans for merchandise for the village.

Issuance to Users

  • Receive correct qualities and quantities of supplies for users.
  • Dispatch supplies to the users any time within working hours
  • Communicate delays in deliveries to all stake holders.

Key Results:

  • Stock is monitored and information about stock needs is passed to all stake holders in a timely manner.
  • Accurate records of all stock received and taken from the store by using Stock cards, order forms and the Stores inventory management system.
  • Information from periodic reports is available and well disseminated to all stake holders.
  • Timely issuance of stock to users
  • User reliability & customer satisfaction
  • Store void of clutter & organised
  • All stock properly shelved, arranged and labelled with name in categories.
  • Ensure the store is cleaned weekly.
  • Clear, timely and effective communication with Procurement, Stores and End users
  • Easy flow of feedback and information between the users and buyers.
